Ladywood Clinic aims to provide timely access to appointments for all patients.
We understand that circumstances can change and you may occasionally be unable to attend an appointment. When an appointment is cancelled with adequate notice, we can offer that appointment to another patient who may be waiting for care.
This policy explains the notice required when cancelling an appointment and the fees that may apply for late cancellations or non-attendance.
If you are unable to attend your appointment, please contact Ladywood Clinic as soon as possible.Appointments may be cancelled by contacting the clinic on (08) 8263 6521 or through the online booking system where the cancellation option is available.Where possible, please provide as much notice as you can.
Standard GP appointments require at least 2 hours' notice of cancellation. If you:cancel with less than 2 hours' notice; or do not attend your appointment without cancelling,a $45.05 cancellation/non-attendance fee will apply.
Procedure and extended appointments require at least 24 hours' notice of cancellation. If you cancel with less than 24 hours' notice or do not attend, a $100 cancellation/non-attendance fee will apply. This may include appointments such as:
Please arrive on time for your appointment. If you arrive significantly late, the doctor or clinician may not have sufficient time to safely complete your consultation or procedure.Where an appointment cannot proceed because of a late arrival, it may be treated as a late cancellation and the applicable cancellation fee may be charged.Where possible, the clinic will try to accommodate late arrivals; however, this cannot be guaranteed.
A patient is considered to have not attended an appointment when they do not arrive for their booked appointment and have not contacted the clinic to cancel. The applicable non-attendance fee will be based on the type and length of appointment that was reserved.
Cancellation and non-attendance fees are private fees and are not claimable from Medicare. The cancellation policy may apply regardless of whether the patient would normally be privately billed or bulk billed, including children and concession card holders.
Outstanding cancellation or non-attendance fees may need to be paid before another appointment can be booked. The clinic may also require payment of an outstanding cancellation fee before proceeding with a future appointment.
Repeated late cancellations or failure to attend appointments can affect other patients' access to medical care.Patients who repeatedly fail to attend booked appointments may be asked to discuss their future appointment arrangements with the Practice Manager.Ladywood Clinic reserves the right to require prepayment or other booking arrangements for patients with repeated non-attendance.
We understand that genuine emergencies and unexpected circumstances occur.Cancellation or non-attendance fees may be waived where there are reasonable exceptional circumstances. These situations will be considered on a case-by-case basis at the Practice Manager's discretion.
